Check-In/Out Procedures

Thank you for booking with Key To The Rockies. Please review the below procedures so your check-in to Key To The Rockies is stress free! 
 
Driving Directions to the Key to the Rockies Reception Office:

*GPS devices are not accurate in the Keystone area.  Please refer to the directions listed below.
*Key to the Rockies is not affiliated with the Keystone Resort Condominium check in office located at Highway 6 and Keystone Rd.  Please read the directions below;

  1. From I-70, take exit 205 (Silverthorne/Dillon/Keystone) and proceed approximately 7.5 miles east on Highway 6 toward Keystone.
  2. PASS the Keystone Condominium Check-In and the Keystone Lodge.
  3. Pass the emergency signal stoplight at the fire station on your left. 
  4. There will be two fluorescent yellow pedestrian crossing signs.  The first one will be blinking and the second one is at Rasor Drive.
  5. Turn right onto Rasor Drive and immediately veer left.
  6. Turn right into the Key to the Rockies reception office parking lot which is located in the three story flat roof brown building.
  7. Parking is available on the east side of the building in the upper parking lot.
 
Office Hours: 8:00 a.m. to 5:00 p.m. year round 
*Office hours are generally extended for holidays and peak season
 
Check In: 4:00 p.m.  - Expedite your check in by returning the rental contract prior to your arrival. 
After Hours Check In 5:00 -  Return your rental contract and save a return trip in the morning. Please use the lock box outside the office door.
Check Out: 10:00 a.m. -  Late departures are subject to half-day rates. 
 
Check-In & Check-Out Instructions

Check-In - 4:00 p.m: 
-Return your rental contract prior to arrival to expedite your check-in process.

-Please follow the directions to Key to the Rockies Reception Office. Do not attempt to go directly to the property.

-Check-In is at 4.00 p.m - 5.00 p.m at the KTTR Reception Office.

-If your property is ready before 4.00 p.m the front desk will call you.

-Please be aware of this check-in time when making travel arrangements.

-The cleaning and inspection process is very important to ensuring your enjoyable experience with our vacation rental properties. Please do not call the front desk for an early check-in.

-If available, early check can be purchased for half of the published nightly rate. A 48 hour notice is required.

After Hours Check-In For Arrivals After 5.00 P.M:  
-Return your rental contract prior to arrival to expedite your check-in process and save a trip back to the office the next day.

-Please follow the directions to Key to the Rockies Reception Office. Do not attempt to go directly to the property.

- All of the items needed to access the property will be in the lock box located directly to the left of the office door.

- To access your packet please use the code 3 2 4 and then turn the knob to the right to open the access door.

- Your packet will be labeled with your last name and will contain keys and directions to your accommodations.

- If you have not completed your rental agreement prior to your arrival please sign the agreement on the first page of your packet and deposit into the key box to your right under the window. 

Check-Out - 10.00 a.m: 
- Check-Out is at 10.00 a.m
- Please fill the dishwasher and turn it on before your leave.
- Return the keys to the KTTR Reception Office. Keys that are not returned are subject to a $20 per key charge.
- If available, late departure must be approved by the front desk for an additional fee.

Terms and Conditions
 
Disclaimer: Occasionally, reservations must be relocated. Key to the Rockies reserves the right to change accommodations without notice up to the day of arrival due to unexpected emergencies, sale of the property or owner usage. Every effort will be made to provide equal accommodations. Key to the Rockies is not held responsible for any inconvenience, damage, injury or loss to persons or properties, directly or indirectly due to weather, negligence or wrongful act by outside booking agent or independent recreational company beyond the direct control of Key to the Rockies. 
 
Rates, Tax and Surcharge: Condominium rates are subject to local taxes and surcharges. Prices are subject to change. Total tax and surcharge rates are 5.775% for Keystone, Dillon, Silverthorne and Keystone Ranch and 6.275% for properties located in River Run Village and East Keystone. Surcharge total is 8% of the rental price prior to taxes. Cleaning fees are dependent upon the size of the property. Please contact Key to the Rockies for additional information.
 
Forms of Payment: Visa, MasterCard, American Express, Discover, Cash and Checks are accepted. A credit card imprint is required upon check-in for incidentals. 
 
Payment Policy: At time of booking half of the lodging total due is required during the season. Full and final payment is due 30 days prior to arrival date or due 45 days prior to arrival date for Holiday bookings. Key to the Rockies reserves the right to charge credit cards on payment dates.
 
Cancelation Policy: A $50 handling fee will be charged on cancelations made more than 30 days prior to arrival. Should you cancel within 30 days of arrival, your vacation package is nonrefundable. For Holiday bookings, a $50 handling fee will be charged on cancelations made more than 45 days prior to arrival, and should you cancel within 45 days of arrival, your vacation package is nonrefundable. Key to the Rockies reserves the right to withhold full deposits and cancel any reservation if final payment is not received in compliance with our payment policies. 
Travel Insurance is available for purchase.

Rental Contract: A rental contract has been sent to you via e-mail at the time of reservation. Please sign and return the document to Key to the Rockies. Contract must be received by the arrival date. Completion of this document ahead of time will expedite your check in process and may save you a return trip to the office to fill out the contract in person. 
 
Damages: Your unit is inspected and inventoried by our staff prior to your arrival. Upon departure, your unit will again be inspected and inventoried. Key to the Rockies reserves the right to charge the credit card on file for any damages or losses incurred during your stay, beyond normal wear and tear. 

Mandatory Damage Protection: At the time of booking you must choose - EITHER - 
1. A refundable $3090 security deposit.
- OR  -
 2. A non refundable $35 CSA Damage Insurance that will cover up to $2000 in damages. 

- Charges for damages will first be absorbed by the chosen damage protection policy. Any charges for damages not covered by the damage protection policy chosen will be assessed to the credit card on file. 

Security Deposit Return Policy: Security deposits will be returned after a thorough departure inspection of the property. Excessive cleaning, damages, and exterior pick up of trash and/or cigarette butts will be considered. If you choose the refundable security deposit option it will take approximately 1 - 2 weeks to be returned to the card on file. If there are no damages, the deposit will be returned less the credit card processing fee of $90.
 
Housekeeping Service: Prior to arrival, each unit is cleaned and provided with fresh linens, towels and consumable goods such as soaps, paper products and firewood. Published rates do not include daily housekeeping service. Stays of five to eight nights receive a complimentary towel change and trash removal midway through stay. Stays of nine or more nights receive a mid week clean, as well as towel change and trash removal service. Daily housekeeping is available. Please call for details.

Towels and Additional Supplies: Guests are welcome to pick up additional towels and/or supplies during business hours at no additional cost. Please call ahead of time with the quantities to allow us to gather the correct items ahead of time. Each bathroom is already furnished with 6 bath towels, 2 hand towels, and 4 wash cloths. Sofa sleeper sheets and pillows can generally be found in a common area closet or master bedroom closet. 

Hot Tubs/Jacuzzi: If hot tub becomes inoperable during your stay, a maximum of $25 per day will be refunded. This does not apply to jetted bathtubs or to common area recreational facilities.
 
Pets: Pets are prohibited in all Key to the Rockies properties. If evidence of a pet is found in any property, a minimum charge of $250 will be assessed.  Service animals require proper credentials

Smoking: All Key To The Rockies properties are non-smoking, including marijuana with the exception of Liftside 206. A minimum $250 damage fee will be assessed if evidence of smoking is found. 

Audio/Visual Equipment: Evidence of tampering of audio/visual equipment will be subject to a $45 per hour fee to reinstate the equipment to its original set up. Key to the Rockies is not responsible for equipment that is not owned by the owner of said property. 

Moving Furniture: Evidence of moving furniture with the exception of the coffee table to enable the use of sofa sleepers is strictly prohibited. 

Commercial Use of Rental Property: Key to the Rockies properties are for residential use only. Commercial use Key to the Rockies rental properties is strictly prohibited. This includes but is not limited to sub-leasing, weddings and events. 

Vacation Rental Damage Protection: As a part of your stay, you may purchase a Vacation Rental Damage Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay provided they are disclosed to management prior to check-out. If purchased, the policy will pay a maximum benefit of $3,000.  Any damages that exceed $3,000 or are not covered under the plan will be charged to the credit card on file. If, during your stay at one of our rental properties, an insured person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. Certain terms and conditions apply. Full details of the Vacation Rental Damage coverage are contained in the Description of Coverage or Insurance Policy www.vacationrentalinsurance.com/g20vrd . The Vacation Rental Damage plan can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Key to the Rockies any amount payable under the terms and conditions of the Vacation Rental Damage. Please contact Key to the Rockies directly if you wish to participate in this assignment. If you do not wish to purchase the Vacation Rental Damage Protection, a refundable $500 damage deposit will be required upon check-in.  The cost to purchase the Vacation Rental Damage Protection is $35.

Vacation Rental Insurance:  CSA Vacation Rental Insurance has been made available with your reservation. Vacation Rental Insurance reimburses for pre-paid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses.  We strongly recommend you purchase this valuable protection.  If you do not elect coverage, you acknowledge you have read and understand our cancellation policy and choose not to purchase Vacation Rental Insurance on behalf of all occupants.   Insurance cannot be added after a potential loss or after final payment.  Separate CSA terms and conditions apply, please read your policy and contact CSA with questions. The cost of Vacation Rental Insurance is 7% of your total lodging bill.
